How to Bill US Clients as a Freelance DevOps Engineer from India in 2026

Practical guide for Indian DevOps engineers doing freelance consulting for US clients: payment platforms, GST on exports, LUT filing, invoicing in USD, and realistic rates.

You landed a US client, they want to pay you $80/hour, and now you're drowning in questions: Do I need GST registration? Will my bank block the transfer? How do I invoice in USD? What about taxes?

This guide cuts through the noise. Here's exactly how to set up billing for US clients from India in 2026.

Realistic Rates for Indian DevOps Freelancers

Before the mechanics, the market reality:

ExperienceTypical Rate (USD/hr)
1–3 years (AWS/K8s basics)$30–50
3–6 years (production experience)$50–90
6+ years (architecture, multi-cloud)$90–150
Platform engineering / Staff-level$120–200

Monthly retainers are better than hourly for recurring work. A 20 hr/month retainer at $70/hr = $1,400/month with predictable income.

Payment Platforms: Fees Comparison

PlatformFee on $1,000Transfer TimeBest For
Wise~$6–8 (0.6–0.8%)1–2 daysBest overall, lowest fees
Deel$0 (client pays)Instant to Deel walletLong-term contracts
PayPal~$30–50 (3–5%)1–3 daysAvoid for large amounts
Remitly~$4 fixed1–2 daysOne-off payments
Direct Wire (SWIFT)$15–25 bank fee3–5 daysLarge payments only

Recommendation: Use Wise for most payments. The exchange rate is close to mid-market and fees are transparent. Open a Wise account, get your USD account details, share them with your client like a US bank account.

GST on Export of Services: The LUT

If you're GST-registered (mandatory above β‚Ή20L annual turnover, voluntary below), you need to understand how exports work.

Export of services = zero-rated supply under GST. This means you charge 0% GST to foreign clients. But you have two options:

  1. Without LUT: Collect 18% GST, pay it to the government, then claim a refund. This is a cash flow nightmare.
  2. With LUT (Letter of Undertaking): Charge 0% GST directly. No upfront payment, no refund process. This is the correct approach.

How to file LUT:

  1. Log in to gst.gov.in
  2. Go to Services β†’ Returns β†’ LUT
  3. Fill Form RFD-11 (online)
  4. Submit with your DSC or EVC
  5. LUT is valid for the full financial year (April–March)

File it once per year. No fee. Takes 15 minutes.

If you're below the β‚Ή20L threshold and not GST-registered, you don't collect GST at all β€” just invoice in USD without any GST line item.

What to Put on Your Invoice

Use Wave (free) or Bonsai for invoicing. A valid USD invoice to a US client should include:

DevOps Consulting Services
Invoice #: INV-2026-007
Date: July 2, 2026
Due: July 16, 2026

Bill To:
  Acme Corp
123 Main St, San Francisco, CA 94105, USA

From:
  Your Name
Your Address, City, State, PIN, India
  PAN: ABCDE1234F
GSTIN: (your GSTIN or "Not Registered")

Services:
  DevOps Consulting - June 2026 20 hrs Γ— $70 = $1,400.00
  (Kubernetes migration, CI/CD setup)

GST: Export of services under LUT / Zero-rated = $0.00

  Total Due: USD $1,400.00

Payment: Wise USD Account
  Account Number: XXXXXXXXX
  Routing: XXXXXXXXX
Bank: Community Federal Savings Bank (Wise's US partner)

Keep the PAN on all invoices. It's required for income tax purposes.

FIRA Certificate: What It Is and Why You Need It

When a wire transfer arrives in your Indian bank account, ask your bank for a FIRA (Foreign Inward Remittance Advice) or FIRC (Foreign Inward Remittance Certificate). Some banks call it a credit advice.

You need this to:

  • Prove the income is a foreign export (for GST LUT compliance)
  • File income tax correctly (foreign income must be reported)
  • Apply for a refund if you ever paid GST without LUT

Ask your bank for this within 30 days of receiving the payment. Most banks (HDFC, ICICI, Axis) email it automatically now. Keep it for at least 7 years.

Freelancer vs Company Registration

SetupProsCons
Individual freelancerSimple, no compliance overheadLower credibility for large contracts
Sole proprietorshipSame as individual, easy to set upPersonal liability
Private Limited CompanyProfessional, can hire, investors possibleROC filings, audit required above β‚Ή1Cr
LLPLess compliance than Pvt LtdHarder to explain to US clients

For most freelancers doing $30K–100K/year: a sole proprietorship or individual setup with a current account is fine. Register a company when you cross β‚Ή50L or want to hire.

Contract Basics: SOW vs Retainer

Always have a contract. Two common structures:

Statement of Work (SOW): Project-based. Define scope, deliverables, timeline, and payment milestones. Good for one-off projects like "set up Kubernetes cluster on EKS."

Retainer: Monthly fee for ongoing support, a set number of hours, or availability. Predictable for both sides. Include: hours per month, response time SLA, what happens if hours go unused.

Use Bonsai.io β€” it has SOW templates designed for freelancers, e-signature built in, and automatic invoice reminders.

Income Tax

Foreign income is taxable in India as "income from business/profession." After deducting business expenses (internet, equipment, software, co-working), the net profit is taxed at your income tax slab rate. File ITR-3 or ITR-4 (Sugam) depending on your setup.

Hire a CA once you're earning consistently above β‚Ή10L/year β€” the savings on advance tax planning alone will cover the fee.

The setup looks complex, but it's a one-time effort. File the LUT in April, set up Wise, save your FIRAs, and you're running a legitimate consulting business.
